Creating and Managing Custom Prompts

Prompts can be used to capture information from or validate the identity of the driver that is attempting to use a Policy Code.

Prompts are fields that can be assigned to policies to capture information or act as a password to validate that fuel is being purchased by a trusted driver.

There are two types of Prompts:

  1. Exact Match: The information that is entered must match the information their carrier has. Exact Matches are notated with an asterisk. (e.g. Driver ID)

  2. Capture: The information does not have to match, only entered into the app. (e.g. Odometer reading)

Below is a step by step guide on how to create and manage your existing prompts.

If your fleet uses truck numbers Relay can help set up your account to associate them with your transactions. There are several ways you could do this depending on your specific needs. Here we will go over how to require your drivers to enter their truck number as a prompt before transactions.


Creating and Managing your Available Prompts

The custom fields section controls all the prompts that are available for you to use on your Policies. Relay will include Driver Pin, Truck #, and Trailer # as default prompt options. However, you may add as many as you like.

Create a new Prompt

  1. Sign into your Relay Portal and click on the Gear Icon on the bottom left of the page to access your Settings page.

  2. From the menu on the left, click on the Custom Fields Tab

  3. To create a new prompt, click on New Field

  4. In the New Field Flyout, you can name the new prompt and then choose where the new prompt should appear. You can add your new prompt to be visible on different pages in the Relay Portal, and add them as a column to the Transactions or Drivers reports.

  5. Click Submit to Save the new Prompt.


Assigning your Prompt to a Policy as "Require Match"

Now that you have your new prompt created, you can require your drivers to enter it when they before they're able to use their RelayCode. In this example, we will add Truck # to an existing policy and mark it as Require Match.

  1. Go to the policy tab of the drivers page and create a new driver policy.

  2. On the fuel section of the slide-out, click on Add Prompt.

  3. Select the prompt you would like to set from the drop down under Prompt and choose Require Match in the input field.

    1. This means that every time your drivers go to make a fuel or lumper payment with this policy they will first need to enter their specific assigned truck number.

NOTE: To set up a required match you must create a NEW policy. Adding a required match prompt to an existing policy is not possible as it would invalidate current drivers using that policy.


Assigning your Policy to a Driver and setting the Prompt Value

Now that we have the truck # field and a policy requiring it, we can assign it to a driver. To do so:

  1. Create a new driver or edit an existing one on the driver's page. A guide on how to manage your drivers can be found here.

  2. Scroll down to the policy section and select the policy where you just added the required match prompt. You will see a new field appear for Truck #.

  3. Enter the driver's truck # here and Save.

Now that driver will be required to enter their exact truck number when attempting to unlock a Relay Policy code. That number will also be associated with all of their transactions in reporting.

If your driver ever changes trucks just come here and update the value.
