Customize your fuel networks to control where drivers can pay

Updated over a year ago

A fuel network allows you to control where your drivers can make purchases with their fuel policy. You can now create multiple fuel networks to customize where different subsets of your fleet can fuel.

A Fuel network is a grouping of merchant, brand or location level rules. These rules control whether a purchase can happen at a particular fuel location in accordance with a driver's policy limits. A network can be assigned at the company level or policy level, allowing for different location rules for different sets of drivers. By default all accounts have a one fuel network, where all locations are categorized as in-network and this default network is assigned to all policies.

Locations status

Locations in your networks can have three different statuses: In-network, Out-of-network, and Prohibited.

In-network locations are fully accessible. Drivers will be able to see them on their map and make purchases as normal. In-network policy limits can be used at these locations.

Out-of-network locations are visible on the driver map on mobile, but show as restricted to out-of-network payment methods. Drivers will only be able to make purchases if they have a specific out-of-network limit on their policy or if they are sent a one-time fuel or cash code. The intent is that out-of-network locations are restricted, but can be made available to drivers when needed.

Prohibited locations are fully restricted, meaning that drivers will not be able to make purchases or see these locations on the map in the portal or driver mobile app. One-time fuel and cash codes can be used at prohibited locations if the code creator checks the box to allow for that one-time code to be used at a Prohibited location.

Creating and editing networks

Networks are managed on the Fuel Networks page in your account settings. Initially, there will be a single default network which is used for all drivers and shown on the explore map. You can click on your default network to edit it or "New Network" in the top right to create another.

When editing a network you can choose the status of every merchant, brand, and location. By default locations will use the status of their parent merchant (or brand). If you want a location to have a different status than its parent, you can click the edit icon next to it's status to override it.

As an example, if Pilot (the merchant) is In-network then all Pilot locations will be In-network as well. However if you would like to prohibit a specific Pilot location you could do so by finding it on the locations tab and clicking the edit icon to overriding it's settings with a new status.

Default network status

Every networks has a default status (In-network, network, prohibited) that can be found on the merchants tab. Unless manually overridden the default status will cascade down to the merchants in the network and along to all their children. This default status will also be used by new merchants as they are added to Relay overtime.

Explore map

Your explore map will initially show your default fuel network. In-network locations will show up as purple tags, Out-of-network as faded purple, and prohibited will be hidden entirely.

Once your company has multiple networks you will be able to toggle which appears on the explore map using a drop down in the top right.

Networks on polices

Once you have multiple fuel networks you will have the option to apply different networks to different driver polices. This allows you to set different locations as In-network, Out-of-network, or Prohibited for different drivers.

To do so create or edit a policy and click "Customize" in the fuel network section. Note this section will only appear once you have multiple fuel networks. Prior to that all polices will use your default network.

One-time codes

Currently one-time fuel and cash codes will work at any in-network or out-of-network locations as defined on your default fuel network. They can also be optionally toggled to work at prohibited locations. This means it may be possible for a driver to use a one-time code at a location that is restricted by their policy.
