Reports

Create, schedule, and export reports of your transactions

On the Reports page of your Relay portal, you can create detailed reports of your transactions, apply filters, and export them for use outside of Relay. Reports can also be saved for quick access later or scheduled for automatic delivery.

Creating a Report

  1. Click New report in the top right corner.

  2. Select a Report Type.

  3. Choose a Date range.

  4. Apply any Filters (e.g., Product Types, Policy, Location).

  5. Pick a File Type (CSV or PDF).

  6. Adjust Format & Columns (optional).

  7. Click Save to reuse later, or Download to generate immediately.


Report Options

When creating a report, you have several options to choose from.

Report Type

  • Transactions → then select a Transactions Type: Fuel, All, or Failed

  • Running Balance → view and export a rolling balance of payments over time

  • Drivers → download and schedule a list of your drivers with details including: Name, Policy Assigned Date, Last Fuel Transaction etc.

  • IFTA (International Fuel Tax Agreement) → generates IFTA-ready CSV file

Date Range

Controls the dates that will be included in a report. If you select a relative date range, such as "Last month," the transactions included in a report will change over time. For example, a weekly fuel report set to "Last 7 days" would always contain the fuel transactions from the last 7 days, resulting in a different set of transactions each time it is downloaded. Alternatively, you can set a custom static date range and retrieve transactions from a specific time period. Note that all transaction times will display according to the selected timezone, regardless of the location where they occurred.

If you need your report to match your Pilot Direct Bill invoice, set the timezone to Transaction Local Time before downloading or scheduling the report.

Filters

Controls which transactions will be included in a report based on their attributes. For example, if you would like to see all the transactions for a specific driver, you can select them as a filter, and transactions from all other drivers will be excluded.

Format & Layout

Depending on the type of report, you may have options to control its formatting. Potential options include customizing the columns, selecting how products are displayed, and grouping transactions by attributes (such as driver).


Managing Reports

Scheduling a Report

Reports can be set to send automatically by email at regular intervals.

  1. Toggle Scheduled report under the Date range.

  2. Select the cadence (e.g., Daily, Monthly) and time zone.

  3. Add recipients (users or external email addresses).

  4. Click Save.

All recipients will receive an email with the report attached at the chosen frequency.

Downloading a Report

Download reports by clicking the dots menu on the reports table or the report slide-out. You can also download reports by clicking the download button while creating/editing a report.

Saving a Report

When you save a report, you’re saving the filters, date range, and format you selected — not a static file. Saved reports act as reusable templates you can pull from the Reports table at any time.


Report History

You can view the history of all generated reports on the "History" tab. Every report generated for your company will appear here. Allowing you to view activity history and locate specific versions of your related reports. For example, the August version of your "Monthly Fuel Report".
