Driver Policies are a set of spending rules and restrictions you can create and apply to drivers in Relay. They help you control where, when, and how much drivers can spend across fuel, lumper payments, and RelayGo cards.
Policies are managed in the Policies tab on the Drivers page of the Relay Portal.
To learn how to assign a policy to a driver once created, click here.
Creating and Editing Policies
In the Relay Portal, go to Drivers → Policies.
Click Create Policy.
Enter a name for your policy.
Choose which payment types to enable:
Fuel Stops
Lumper Warehouses
RelayGo
Configure your policy limits and prompts - see below for further details.
Save the policy.
Assign the policy to drivers by editing their profile and selecting the policy.
Policies with Fuel Stop Codes
Policies with Fuel Stop Codes provide you with full visibility and control over driver fueling. Check out our step-by-step article on how to add fuel products to a policy.
Available Controls
Limits: Set the maximum amount each driver can purchase by dollars, gallons, or transactions. Choose daily or weekly resets.
Products: Diesel, Reefer, DEF, Additives, Oil, Gas, Compressed Natural Gas, and CAT Scales
Locations: Restrict fueling to specific merchants.
Allowed Times: Choose when drivers can generate codes.
Code Refresh: Fuel codes are refreshed after each use and reset nightly at 12:00 a.m. EST.
Setting Multiple Limits on a Product
You can add multiple limits to enforce stricter rules on how drivers use their policy.
Supported combinations:
Dollar + Transaction Count
Example: $500/day and 1 transaction/day
Drivers can make only one daily transaction, capped at $500
Gallons + Transaction Count
Example: 300 gallons/day and 1 transaction/day
Drivers can make only one daily transaction, capped at 300 gallons.
Security and Unblock Requirements
Geofencing: Drivers must be at the stop with the Relay App installed and location services enabled to unlock codes.
Prompts: At least one prompt is required.
Capture: Driver enters a value (e.g., Load #, Odometer).
Require Match: Driver must enter an exact value you’ve defined (e.g., Truck #).
Once you have set up your Policy with Fuel Codes, learn more about how your drivers can unlock and use them.
Policies with Lumper Codes
Lumper Policies allow you to define preset spending rules for lumper payments.
Available Controls
Limit spending by dollar amount or transaction count.
Choose daily or weekly resets.
NOTE: Daily limits reset at 12 AM ET and Weekly Limits reset on Sundays at 12 AM ET. Resets can take up to 15-20 minutes to process.
Set up Prompts (optional)
Prompts
Prompts are optional for Lumper Fees. There are three types of prompts:
Capture: Driver can enter a value (e.g., Date, Odometer).
Require Capture: Driver is required to enter a value (e.g., Load #, Purchase Order #).
Require Match: Driver must enter an exact value you’ve defined (e.g., Truck #, Driver Pin).
NOTE: If the same prompt are set up for Lumper and Fuel codes, the prompt will be the same for both.
E.g., If you set up a Driver Pin prompt that requires match, and set up the Pin # as 1234, then your driver would have to input 1234 as their driver pin to unlock either a lumper or a fuel code.
NOTE:
RelayGo Policies
RelayGo policies let you manage the spending of drivers anywhere Visa is accepted. These are not tied to fuel or lumper policies. These are used for general expenses. RelayGo is not geofenced. Once enabled, cards can be used anywhere Visa is accepted.
For security, we recommend keeping RelayGo limits low or at $0 and using one-time payments when needed.
One-time payments
Policies enable drivers to make recurring payments without your approval, but they are not the only way to pay. For one-off needs such as repairs & tow, or hotel stays, you can send one-time payments to drivers that do not count against their policy limits.
